How to Collaborate on PDFs with Team Workspaces

What Are Team Workspaces?

Team Workspaces are private collaboration spaces where you can share processed PDF files with colleagues. Instead of emailing files back and forth, everyone on the team sees the same shared library inside PDFXINET.

Creating a Workspace

1. From the navigation menu, go to Workspaces.
2. Click New Workspace (requires a Pro or Business plan).
3. Give the workspace a name and an optional description, then click Create Workspace.

Inviting Team Members

1. Open your workspace and click Invite Member.
2. Enter your colleague's email address and click Send Invitation.
3. They receive an email with a secure invite link valid for 7 days. They need a free PDFXINET account to accept.
4. Once accepted, they appear in the Members list and can view all shared files.

Sharing Files into a Workspace

1. In the workspace detail page, use the Share a File panel on the right.
2. Choose a file from the dropdown (shows your 20 most recent processed files).
3. Click Share to Workspace. The file instantly appears in the shared files table for all members.

Plan Seat Limits

• Pro — up to 5 workspace members
• Business — up to 25 workspace members
• Free and Starter plans cannot create workspaces (you can still join one if invited)
