Frequently Asked Questions

Find quick answers to common questions about PDFXINET

What file formats can I convert to PDF?
You can convert DOCX, TXT, JPG, PNG, GIF, and CSV files to PDF using PDFXINET.
Is my data secure?
Yes. All uploaded files are stored securely on encrypted infrastructure. Guest (non-registered) users: processed output files are permanently and automatically deleted exactly 24 hours after creation — no manual action required. Registered users: your output files are retained in your private account until you choose to delete them. We use AES encryption for password-protected PDFs, and we never use your documents to train AI models.
How many conversions can I do for free?
Guest users get 2 free conversions per day. Registered free users get 5 per day. Upgrade to a paid plan for higher limits.
Can I use the API?
API access is available on Pro and Enterprise plans. Generate your API token from the dashboard.
What is OCR and when do I need it?
OCR (Optical Character Recognition) extracts text from scanned PDFs or image-based PDFs. It requires Tesseract to be installed on the server.
How do I cancel my subscription?
You can cancel your subscription at any time from your dashboard under Plans & Billing. Your access continues until the end of the billing period.
Do you offer refunds?
Yes, we offer a 14-day money-back guarantee on all paid plans. Contact support within 14 days of purchase.
How do share links work?
After processing any file you can generate a tokenised download link. Choose from preset expiry windows — 1 hour, 24 hours, or 7 days — or enter any custom number of hours. You can also send the link by email directly from the dashboard. Each link is rate-limited to 10 downloads per IP per hour, and you can revoke any active link at any time from the Share Links management page.
What are Team Workspaces?
Team Workspaces (available on Pro and Business plans) let you share processed files with colleagues inside a private, access-controlled space. Create a workspace, invite teammates by email, and share any of your converted files with the whole team. Pro plans include 5 member seats; Business plans include 25. Invited users receive a secure 7-day invite link and need a free PDFXINET account to join.
What are Starred Files?
You can star any processed file from your dashboard to pin it for quick access. Click the star icon (☆) in the file row to toggle starring. Starred files are accessible via the Starred link in the Folders sidebar panel. Click the star again to unstar.
What is version history?
Each time you process a file with the same original name, PDFXINET automatically tracks it as a new version. Version badges (v2, v3…) appear alongside file names in your history, and you can retrieve the full version chain programmatically via the API.
How do I navigate large file lists?
Your dashboard shows 10 files per page. Use the pagination controls at the bottom of the file table to move between pages. For large inventories a Jump to page input appears when there are more than 5 pages. Pagination works together with search, filters, folder navigation, and the Starred view.
Can I resize the file table columns?
Yes. Hover over the right edge of the File, Date, or Size column header until the resize cursor appears, then drag to adjust the width. Column widths are saved in your browser and restored automatically the next time you visit the dashboard.
How do I organise my files with folders?
Click New Folder in the dashboard sidebar to create a colour-coded folder. Move files into it via the overflow menu (⋯ → Move to Folder) or by selecting multiple files and using the bulk-move action. Files can be moved back to Unfiled at any time. Folders can be renamed or deleted; deleting a folder moves its files to Unfiled automatically.
What happens when I delete a file?
Deleting a file from the dashboard moves it to Trash — it is not permanently removed. You can restore it at any time from the Trash page. To free up storage, open Trash and click Delete Forever on individual files, or Empty Trash to purge all trashed files at once.
Can I download multiple files at once?
Yes. Tick the checkboxes on the files you want, then click Download ZIP in the bulk action bar that appears at the bottom of the page. Up to 50 files can be downloaded as a single ZIP archive at a time.
What is Usage Analytics?
The Analytics page (user menu → Analytics, or /dashboard/analytics) gives you a personal usage overview: total files processed, conversions this month, starred file count, and your storage percentage. It also shows a 30-day daily conversions bar chart, a file-type doughnut chart, a top-actions horizontal bar chart, and a plan-limits summary table. No data is ever shared with other users.
What are Webhooks?
Pro and Business users can register a webhook URL via POST /api/v1/webhooks (requires an API token). After every successful file conversion PDFXINET immediately fires a file.processed event to that URL in a background thread (best-effort, non-blocking). The JSON payload contains: event, entry_id, original_name, filename, extension, size_bytes, and user_id. Send a test event at any time with POST /api/v1/webhooks/test. Retrieve the current URL with GET /api/v1/webhooks and remove it with DELETE /api/v1/webhooks.
What is Email-to-PDF?
If your email provider (Mailgun or SendGrid) is configured for inbound email routing, you can email any HTML body to a designated address. PDFXINET's inbound webhook at POST /api/v1/inbound-email converts the email's HTML body to a PDF, saves it to your file history, creates a 72-hour share link, and replies to the sender with the download link — all automatically. Set MAILGUN_WEBHOOK_KEY in the server environment to enable HMAC signature verification for added security.
What is Scheduled Processing?
The Scheduled PDF tool (/schedules/) lets you create recurring jobs that automatically convert any URL to PDF on a chosen frequency — hourly, daily, weekly, or monthly. The background scheduler checks for due jobs every 15 minutes. When a job fires, the resulting PDF is saved to your file history, a 7-day share link is created, and a notification email is sent to the address you specified. You can pause, resume, run immediately, or delete any schedule from the schedules management page.
How does PDF Annotation work?
The Annotate PDF tool (/pdf/annotate) lets you upload any PDF and then draw on each page using a visual canvas overlay. Four annotation types are available: Highlight (semi-transparent colour fill), Text (typed string placed at a position), Note (yellow sticky note with word-wrapped text), and Rectangle (stroke border). Choose a colour and font size from the toolbar, drag to define the region, then click Apply & Download. Annotations are embedded permanently into the PDF via a reportlab/pypdf overlay. Coordinates are stored as page fractions, so placement is accurate regardless of the zoom level you used in the editor.
Does URL-to-PDF require anything to be installed?

The URL-to-PDF / HTML-to-PDF tool works out of the box and produces a text-based PDF on all platforms. For full CSS rendering — preserving fonts, colours, images, and layout exactly as they appear in a browser — the server needs WeasyPrint plus its GTK3 system libraries.

Self-hosted / local users on Windows:
Download and install the GTK3 Windows runtime from GitHub (tschoonj/GTK-for-Windows-Runtime-Environment-Installer). After installing, restart your terminal and Flask server. WeasyPrint is already included in requirements.txt.

Linux / Docker:
Install: libpango-1.0-0 libpangocairo-1.0-0 libcairo2 libgdk-pixbuf-2.0-0 shared-mime-info fonts-liberation. These are already in the project Dockerfile so Docker deployments work automatically.

macOS:
Run brew install pango cairo gdk-pixbuf libffi, then restart.

If the GTK3 libraries are not present the tool falls back automatically to a plain-text extraction renderer — you still get a PDF, but without visual styling.

Where can I find my invoices?

All invoices are available in your Billing & Invoices section, accessible from the user menu (top-right) → Billing & Invoices.

From the Billing page you can:

  • See a summary of total invoices, paid count, total spent, and your current plan.
  • View the full invoice detail for any transaction (HTML format).
  • Download a professionally formatted PDF invoice for your records, expense reports, or accounting software — PDFs are permanently stored and will always match what was originally issued.

Invoices are generated automatically for every successful subscription payment processed through Stripe — you do not need to request them manually. Invoice numbers follow the format INV-YYYY-NNNNNN (e.g. INV-2026-000001). For VAT invoices or billing disputes, email billing@pdfxinet.com.
