When Would You Schedule a PDF Conversion?
Some PDF workflows repeat on a fixed cadence:
- Daily news archive — capture a news portal at 7 am every morning as a permanent PDF record.
- Weekly status reports — convert your live dashboard URL to PDF every Monday and email it to yourself.
- Monthly statements — archive a web-based billing page to PDF on the first of each month before it rolls over.
PDFXINET's Scheduled Processing tool handles all of this without writing a single line of code.
Creating a Schedule
- Go to Tools → Scheduled PDF or navigate to
/schedules/.
- Click New Schedule.
- Fill in:
- Schedule Name — a label for your own reference (e.g. "Daily News PDF").
- Frequency — Every hour, Daily, Weekly, or Monthly.
- URL to Convert — the public web address to fetch and render as a PDF.
- Notification Email — the address that receives a link to the output PDF when the job runs (defaults to your account email).
- Click Save Schedule. The schedule is immediately active.
How the Background Scheduler Works
A background APScheduler process wakes every 15 minutes and checks for due jobs. When a job is due:
- The URL is fetched and converted to PDF using the same HTML-to-PDF engine as the URL → PDF tool.
- The PDF is saved to your file history with a timestamped filename.
- A 7-day share link is generated automatically.
- A notification email is sent to your configured address with the download link.
Managing Schedules
- Pause / Resume — click the pause icon to suspend a schedule without deleting it. Click play to resume.
- Run Now — trigger an immediate run outside the normal cadence. Useful for testing.
- Delete — permanently remove a schedule. Past outputs remain in your file history.
Things to Know
- The URL must be publicly accessible (no login wall). Private pages behind authentication will produce an empty or error PDF.
- Each scheduled run counts as one conversion towards your daily plan limit.
- Jobs run in a daemon background thread — they do not block the web server.
